IAS Focus Group Meetings

Introductory Meeting - October 29, 2003

  • Purpose of the meeting
    • To provide the focus group with a high-level overview of the IAS Project and how it will affect the three departments who are implementing:
      • Finance
      • Human Resources
      • Purchase and Supply
    • In particular:
      • To answer any questions about the project
      • To explain what an integrated system is and why it is being implemented
      • To inform the group of the current state of the project
      • To outline the goals and schedule of the project.
  • Summary:
    • The purpose and overview was explained by Jerry Latter, the Project Manager. The team leads of the three functional areas then gave details on their functional areas and how the implementation would impact the campus:
      • Finance Mike Vitale
      • Human Resources Michelle Keenan
      • Purchase and Supply Chris Keogh
    • The group then participated in a working session on how the expenditure type (subcode) would be displayed in the new system. A decision was made to list the expenditure type (subcode) number first followed by its related description.

Online Requisitioning and purchasing approval hierarchy meeting - January 12, 2004
  • Purpose:
    • To provide the focus group with a live demonstration of the online requisitioning system, Oracle Internet Procurement.
    • To have a working session on the usefulness of a requisition hierarchy. A requisition hierarchy allows levels of approvals according to position of employees within labs and departments giving a greater degree of budget control.
  • Summary:
    • The group liked the concept of the approval hierarchy. Some small labs questioned the usefulness but it was pointed out that by properly setting approval limits they should not have a problem.
    • The group was made aware that employees who hold the same title with in the same Lab/Department must have the same approval limit.
