How can I found out more information about the Finance Department?

I'm concerned about certain aspects of the system's security. Others who have my project number or accidentally key in my number can order from my department's budget and may have unnecessary insight into my budget.

To a certain degree this is true but there are steps to prevent misordering built into our system. We, the users and administrators of IAS (Purchasing Department, Information Systems and Services) responsible for ordering, should be aware that this can occur and take steps to prevent it from happening by being careful when we order and by reviewing purchasing documentation.

Let's assume that misordering can only happen by mistake in the Rockefeller University family. It would be no prank if someone deliberately ordered with another department's requisition number. In each case, there's an audit trail; each order is time-stamped and documented. Purchasing or individual departments will flag any questionable acquisition.

Only approved RU people in the purchasing hierarchy will be authorized to use IAS. That's a subset of about 400 and limited to department budget administrators who manage their budgets and are trained to purchase items for their departments.

You should also be aware that once the rollout goes live, we'll continue to work with our IAS users and with the Oracle team to get the best performance. If there are issues (and eliminating misordering miscues is one of them) we'll jointly strive to correct them. This is all about making the process better and maximizing efficiency for you and RU.

Only limited expenditure types were available during the practice sessions with the account search mapping tool. When will an expanded list of expenditure types be available?

How do I get permission to access the Account Status Inquiry system (ASI)?

You must have an approved (by a department head) permission form on file. You can download a permission form at the IAS document site, http://ias.rockefeller.edu/pdf/ASI_Approval_Letter_and_Form.pdf.

Are financial forms such as Petty Cash Vouchers, on-line Check Requests, Travel Advance Requests and Travel Expense Reimbursements available to accommodate the new PTAEO's?

They are now available from Finance in hard copy or on the Finance web site at http://www.rockefeller.edu/finance/forms/.

Can I access my personal RU account information through the system? Will my personal account number change?

You will not be able to look up your personal account information using the IAS system. The new account mappings will not affect it. Your personal account number remains the same.

Can you recommend ways that I can review and manage my accounting data?

The Award Status Inquiry (ASI) system allows you to export data to Excel. Once you have the information in Excel you can use the program's sort and search capabilities to customize the information.
